On occasion it can be necessary to perform a stock movement from one Site to another. The Portal provides a convenient way to handle Inter-Branch Stock Transfers. In this tutorial we will discuss the process and reporting of Inter-Branch Transfers (IBT's) in detail.

 

This tutorial focuses on the Stock Transfers (IBT) section of the Procurement Menu. The Procurement Menu can be accessed by selecting Menus, Inventory and Procurement from the Navigation Menu. Open the Stock Transfers (IBT) section by selecting the link for Stock Transfers (IBT). A link is provided in this section to open the Company Options for IBT's.

 

 

Open the Stock Inter Branch Transfer screen by selecting Edit Transfers from the Stock Transfers (IBT) section of the Procurement Menu. When you create a new IBT in the Portal it will be assigned a unique IBT Number to identify it and this drop-down can be used to load an existing IBT to edit. Select New IBT to create a new IBT in this screen. Select a Source Site for the stock to be moved from and a Destination Site to receive the stock. The IBT Total, IBT Total Ex-Tax and IBT Status are displayed in the top right corner of the screen.

 

In the Details section of the screen, the Creation Date for the IBT is displayed. Here you can enter a miscellaneous Comment for the transfer. Items are added one at a time by entering the Item Code and pressing the Add button. Use the Find Item button to search for an item that you do not know the Item Code for. As each item is added, its Description, Unit Price and Stock On Hand figures for the Source Site are displayed for your reference. Edit the Quantity in the grid for each item in the amount of items being transferred and press the Update button to save the details. Select an item and press the Delete button to remove it from the IBT. The Print button will print a hard copy record of the IBT. Use the Finalise button to commit the details of the IBT to the Portal and adjustments are made to the stock levels at each Site immediately. To remove the IBT from the Portal without committing the transfer press the Delete IBT button.

 

 

The Portal provides a report to outline the details of the transfers of stock between Sites. This report can be accessed by selecting the Transfer Reports link in the Stock Transfers (IBT) section of the Procurement Menu. The Transfers Report lists the details of all IBT's from a selected source Site during a specified period. The Type drop-down can be used to view Open or Finalised IBT's or both. The information displayed in this report includes the Destination Site, Source Site, IBT Number, Date Created, Date Received, Cost Ex-Tax, Cost, Retail Value, Number of Items, Status and Comment for each IBT. Total Costs and Retail Value are also displayed in the report.
